The SchoolWorkSpace Privacy Policy

Overview

We take care to protect the privacy of customers and users of SchoolWorkSpace. This privacy policy explains how we collect, store and use data about you.

Data

Data in SchoolWorkSpace can be divided up into 3 areas, imported data, entered data and analytics data.

Imported data

SchoolWorkSpace imports data from a school's Management Information System (MIS) . We do this using Groupcall Ltd's Xporter, or Wonde, or direct from the MIS. Data is always transferred encrypted over SSL (https) and is stored securely in Microsoft's Azure Data-Centre located in the UK. We do not transfer data outside of the UK except where individual customers are based outside of the UK (e.g. British International Schools). We only import and process the data required to provide the services to the school. Since this data comes from the school please contact the school if there are data errors.

Entered data

Users of SchoolWorkSpace enter data into the system in order to use its functions. This data is stored securely in Microsoft's Azure Data-Centre located in the UK.

Analytics data

As users interact with SchoolWorkSpace we gather anonymous data both internally in the system and externally using Google Analytics and Microsoft's Application Insights. This data is used to improve our service.

Sharing data

SchoolWorkSpace will not sell or share data about you except in provision of a service for a school (e.g. the school sets Homework so we use your email address and send you an email). The school data sharing agreement is here.

Cookies

To make this site work properly, we place small data files called cookies on your device. Most websites do this too.

What are cookies?

A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. It enables the website to remember your actions and preferences (such as login, language, font size and other display preferences) over a period of time, so you don’t have to keep re-entering them whenever you come back to the site or browse from one page to another.

How do we use cookies?

  • authentication cookies to identify a user once logged in

  • load-balancing cookies for the duration of your session to route your requests to the correct server

  • session cookies so the server can keep track of input for multi-part-forms

  • cookie-law cookie to keep track of if we have shown the cookie law popup

All our pages use Google Analytics and Microsoft's Application Insights to give us insight into who is visiting our site, how long they stay and what they do, both of these also use cookies.

How to control cookies

You can control and/or delete cookies as you wish – for details, see aboutcookies.org. You can delete all cookies that are already on your computer and you can set most browsers to prevent them from being placed. However if you do disable cookies SchoolWorkSpace will not work!

Third Parties

SchoolWorkSpace uses external services provided by third party companies to provide the service.

Groupcall Xporter

Groupcall Xporter provides services for import and export of data from the School MIS. This is the standard method of interfacing with SIMS.

Wonde

An alternative to Groupcall Xporter for import and export of data from the school MIS.

Your MIS

We can also import directly from your school MIS e.g. Arbor, Bromcom, iSAMS, Veracross.

Mailgun

We use mailgun for sending emails.

Brevo

We use Brevo (SendInBlue) for sending SMS messages.

Groupcall Messenger

We use Groupcall Messenger as an alternative route for sending messages (Email, SMS, Xpressions/Push) if the school already uses Groupcall Messenger

Microsoft Azure

We use Azure UK South data centre for servers and data storage.

By using SchoolWorkSpace software you agree to the use of the above mentioned third parties as sub-processors. Any changes will be notified to you for additional authorisation.
