To assist schools with the process of checking and confirming their entries, there are two functions in Exams Assist to assist with this.
The ability for Staff to confirm their entries.
The ability for Parents/Candidate to view the statement of entry via an online portal.
Once the initial entries have been made by teaching staff in SIMS exams, these entries will need to be imported into Exams Assist for them to be checked and authorised by the Head of Department / Faculty.
In SIMS Exams save the ‘Statement of Entry’ for All Candidates - Reports | Entries | Statement of Entry. Include all candidates, Fee Information and Include Component Information. Save as a .tsv file.
In ‘Exams Assist,’ – Overview Tab | Actions | Upload Statement of Entries and upload the .tsv file exported from SIMS.
Assign teaching staff to each element so these can be viewed and check - Select an element(s), then Actions | Assign Staff to Selected.
Assign the entries to subjects - to assist staff in checking the entries it's possible to assign a subject so the class identifier will be displayed in the entries - Select an element(s), then Actions | Set Subject to Selected.
For more details see here
Once the above has been done staff will be able to login to Exams Assist to view and confirm the entries, a list assigned to each staff member will appear on their ‘Homepage.’ When a member of staff selects an element, they will be able to view all the candidates that have been entered, the staff have the ability to mark each of these entries as ‘Correct,’ ‘Query’ or ‘Incorrect.’ As the member of staff go through the list and start marking candidates as a ‘Query’ or ‘Incorrect’ then a comment can be entered in the ‘Comment Section’ at the top of the page.
Once comments have been made by the HOD members of the SLT are then able to review these and can mark them as either ‘authorise’ or ‘decline’ them. Once authorised the Examination Officer can make the amendment in their MIS and then mark these as Actioned. Once the HOD is satisfied no more amendments are required he/she can ‘Authorise’ the entries and then these will be made ‘read- only’.
Note : To make a staff login 'Exams Officer' and/or 'SLT' navigate to School Settings | More Actions | Staff Roles and select Add User
